Work in Lieu Procedures
The following procedures apply for members who do not attend sub-group meetings:
- All Co-op members (apart from the exceptions listed below) must belong to a Sub-Group. This includes members currently in the ‘work in lieu’ pool.
- It is the responsibility of the Subgroup to allocate tasks, where possible, and to ensure that these are carried out.
- Members who do not attend subgroup meetings should receive the minutes of Subgroup meetings and all other Subgroup communications.
- Members should communicate regularly with the Subgroup, for example, letting the subgroup know if they are unable to carry out a job for a specific reason. In the event of a larger, ongoing task, they should provide the subgroup with a regular update on progress.
- The Subgroup keeps Membership informed on a regular basis of what their work-in lieu members are doing, via the attendance sheet.
- If members allocated work in lieu do not do their job, this counts as absence from meetings without apologies.
- Membership assists Subgroups, though their usual procedures of following up non-participation, ensuring that all Subgroup members participate whether attending meetings or doing work in lieu.
- The only exemptions from Subgroups are Co-op Officers (GM Chair, MC Chair, Secretary), the MC minute taker, and those who photocopy and distribute minutes.
- The Secretary is responsible for ensuring that those who photocopy and distribute minutes carry out their task, and if there are problems informs Membership, who take their usual steps to deal with non-participation.
